Position Summary:
The National Multifamily Housing Council is seeking a full-time Sponsorships and Exhibits Coordinator. The primary focus for the position is Coordinate and administer details of all NMHC sponsorships and exhibits. The ideal candidate is a driven, detail-oriented team member who is knowledgeable and passionate about sponsorship and exhibit management.
Responsibilities:
- Assist with the coordination of all sponsor and exhibitor logistics, including at NMHC meetings and conferences.
- Assist and coordinate sponsor and exhibitor contracts, including logistical set up of events in database and exhibitor management software
- Assist in onboarding of new sponsors and exhibitors (processing contracts, invoices, sending materials as necessary)
- Coordinate, create, track, and follow up on sponsor and exhibitor invoices, payments, including sending invoices and invoice reminders.
- Assist, follow up, and track sponsor and exhibitor inquiry emails and phone calls.
- Assist with tracking of sponsor and exhibitor deadlines;
- Assist with implementation and fulfillment of sponsor and exhibitor benefits at conferences (such as managing logos, signage, on-site logistics)
- Assist with implementation and data in exhibitor management software and membership database
- Assist with on-site registration and event logistics as needed.
- Assist with sourcing and production of promotional items for conferences
- Assist in uploading and publishing of content on website
- Assist in collection and tracking of subgroup event requests and meeting room requests.
- Perform other sponsor or exhibitor administrative duties as necessary.
Positions may be reassigned, and responsibilities modified at any time to fulfill organizational requirements.
Skills and Knowledge Requirements:
- Must be detailed oriented and possess above average organizational and inter-personal skills.
- Must be proficient at and possesses exceptional PC skills, especially Outlook, Microsoft Office Suite. Familiarity with iMIS, exhibitor management software and Photoshop a plus but not required.
- Ability to handle multiple priorities and deadlines.
- Excellent time management and organizational skills.
- Ability to be an excellent team player as well as work independently with minimal supervision.
- Positive customer service focus while communicating politely, effectively, and tactfully with members, suppliers and staff.
- Excellent interpersonal skills and ability to effectively communicate, both written and orally, with diverse audiences.
- Must be able to travel nationally to meetings, includes some weekends.

This position reports directly to the Associate Vice President, Sponsorships and Exhibits
