Non-member exhibitor companies must be registered as an attendee for Conference in order to view the list. NMHC member companies have access to the attendee list online at any time.
Exhibitors may send one direct mail piece to conference registrants before or after the conference. Please view the "Direct Mail Information" section of this page for details.

As a NMHC conference exhibitor, you have access to our conference registrant mailing list through our preferred printer and mailhouse. Exhibitors may send one (1) Mailing pre- or post-Conference.
We can segment the list based on the following criteria:
NMHC does not provide lists for invitations to special meetings or events at a conference.
Direct mail campaigns cannot be scheduled any later than 6 months after the end of the Conference.
NMHC requests that you use our preferred printer and bonded mail house for delivery. They will work with you directly on printing and mailing the piece and costs associated with the project.
A copy of the final direct mail piece needs to be sent to Susan Yuk at firstname.lastname@example.org for approval. The submitted direct mail piece must be a final version and NMHC will accept electronic (scanned) versions for approval.

- Personnel who are strictly attending the conference for exhibit set-up and dismantle only do not need to register.
- Badges will be required to access the show floor after 3:00 PM on Monday, November 11.
- Exhibits must be staffed during official expo hours, except for designated “quiet hours”. The expo is closed at all other times.
- Exhibitors may not stay in their booth when the expo is closed. Exhibitors may access their booth 30-minutes before the opening of each expo session.
- For security purposes, attendees are required to wear an official NMHC OPTECH Conference badge at all times during the conference. Exhibitors may wear company badges in their booth, but we ask that you still continue to wear the OPTECH badge. Individuals who are not officially badged will not be permitted to enter or remain in sessions or Expo.
- "Expo-only," "free," or "one-day" passes are not available. If you invite a client to attend the conference, the client must register in accordance with conference registration policies.
All individuals attending the conference from your company must register for a badge. Submitting a booth request form does not automatically register you (or anyone else from your company) as an attendee for the conference.
Exhibitors receive three (3) complimentary, full conference registrations with each paid 10' x 10' booth.
Start-Ups Center Kiosks receive one (1) complimentary registration.
Additional registrations are $600 each (members)/$1,200 each (non-members). Discounted or "exhibit hall only" badges are not available.

Complete show order forms by October 18th to receive discounted preconference pricing.
Personnel who are strictly attending the conference for exhibit set-up and dismantle only and are not attending the conference do not need to register, but they will only be permitted on the show floor during set-up and dismantle times (see times listed below). If these individuals will be servicing your booth throughout the entire conference, then you will need to register them. Badges will be required for all individuals to access the show floor after 3:00 PM on Monday, November 11th.

All booths must be show-ready by 3:00 pm sharp on Monday, November 11th. Crates left on the show floor after 3:00 pm will be removed from the show floor at your cost. Booths not set by 3:00 pm on Wednesday will be considered a “no show”. NMHC reserves the right to return freight to the Freeman warehouse and to resell this space. Penalties will occur for exhibitors that begin to dismantle their booth before the show officially closes on November 12th at 6:30 pm.
Exhibitors, sponsors, and other attendee companies may not take 10 or more attendees off the show floor for private events (on-site or off-site) during official Expo hours. Exhibitors and sponsors found in violation will be penalized. NMHC’s policy on suitcasing and outboarding, and off show floor exhibitor entertaining can be viewed here.
Please read the policy in advance of arriving on show site. If you or someone from your team witness violations taking place during the conference, please advise NMHC staff immediately.
Exhibitors wishing to hold private events on-site at the Hilton Anatole after Expo hours must also be an NMHC Conference Sponsor (exhibits and sponsorships are separate items). Exhibitors who host unapproved events at the Hilton Anatole will be charged the minimum conference sponsorship fee of $10,000 and may result in expulsion from the conference.
If your company would like to host a private subgroup event during OPTECH, please complete and submit the 2019 Subgroup Event Request Form. Event start-times cannot conflict with NMHC programming. Please consult the NMHC OPTECH agenda prior to submitting your form.

Note: For security reasons, the trade show floor will be closed during non-exhibit hours. Do not leave personal items in your booth. Re-entry or staying in booths during non-exhibit hours is prohibited. Exhibitors may access their booth 30 minutes prior to the start time of each expo session.

NMHC follows the IAEE Guidelines for Display Rules & Regulations. To allow an unobstructed view of booths down each aisle, exhibitors (except for island booths) may not have their booths and backdrops exceed 8 ft. in height. Backdrops/backgrounds 8 ft. in height may extend forward no more than 5 ft. from the backwall.
Please read carefully and share with your exhibit house (if using one) to ensure your exhibit is within regulation. Consult NMHC if you have questions or require a diagram for clarification.
NMHC reserves the right to adjust booth setup on-site if in the line of sight guideline is not followed.
Height Restrictions for Hanging Signs (20’x20’ booths and larger only)
Exhibitors who purchase an island booth space may use hanging signs. Height restrictions are between 16’ and 19’ depending on booth location. More info will be released in the Exhibitor Services Kit, approximately 90 days out from the event.
NMHC has set aside a block of rooms for meeting attendees at the Hilton Anatole. Room reservations should be made directly with the Hilton Anatole online (select ATTENDEE as the guest type) or by calling 800/955-4281 and ask for the group rate using code NMH.

NOTICE: Don't get lured in. Sleeping room wholesalers have contacted exhibitors/attendees offering great deals on a hotel room for NMHC OPTECH. While it is not illegal for a travel firm or booking agent to solicit potential customers, it can be difficult to determine the legitimacy of offers from these organizations. Those who do not go through official NMHC channels for the the room rates may find themselves at risk. NMHC reminds its attendees/exhibitors that we have no affiliation with any soliciting room brokers.
Exhibitors may not distribute materials/literature outside of their booth, including in restrooms, bars, breakout rooms, and other various areas of the conference hotel.
If the exhibiting company is also a sponsor (Chairman’s Circle, Friends of the Council, or Conference Sponsor), they may place one (1) piece of literature on the designated literature tables near the registration area. Penalties may occur for exhibitors found in violation of this policy.
Daytime meeting room rentals are not available during the conference, regardless of exhibit or sponsor status.
Exhibitors may request suites through the hotel.

New this year, “Quiet Hours” will take place in the Expo on Tuesday, November 12, from 3:00 PM – 5:00 PM. During this time, the Expo will remain open, but exhibitors are not required to remain in their booths, allowing them the opportunity to attend and network within the conference sessions taking place. Exhibitors who opt to remain in their booths may use this downtime to schedule meetings or longer demos, catch up on work, or simply take a break and relax. NMHC will provide each exhibitor with a small “away” sign to display in their booth if they wish to leave during this time. Exhibitors may also bring their own “away” signs for their booth. Exhibits will again require to be staffed for the Reception, beginning at 5:00 PM. Valuables and personal items must be secured before leaving the booth unattended. NMHC is not liable for lost or stolen items.

Exhibitors must be cautious of companies engaging in phishing attempts and unauthorized solicitations for anything including, but not limited to, hotel rooms, AV equipment rental, meeting attendee/membership contact lists, etc. Solicitation from firms claiming to have such amenities are illegal and fraudulent. NMHC reminds its attendees/exhibitors that we have no affiliation with any of these firms and that we do not sell our member/attendee lists or contact information. NMHC will alert exhibitors if we hire a company to act on our behalf. Please contact us with any questions or if you receive any such communication from a company soliciting you.
