Position Summary
The Sponsorship & Exhibitor Operations Manager plays a critical role in supporting the sponsorship team by managing the execution and fulfillment of sponsor and exhibitor deliverables. This role ensures seamless coordination between internal departments, external partners, and sponsors/exhibitors to deliver exceptional experiences and maximize value to these groups.
Essential Responsibilties
- Manage delivery of sponsorship and exhibitor benefits, including branding opportunities, signage, digital assets, and services.
- Coordinate with marketing, event production, and content teams to align sponsor and exhibitor assets with event timelines.
- Maintain and update internal fulfillment trackers and ensure timely execution of deliverables.
- Ensure compliance with event guidelines and contractual obligations.
- Oversee sponsor activation logistics, including branded experiences and items.
- Liaise finance, legal, and sponsorship team to support creation of invoices, payment tracking, contract/agreement tracking, and reporting.
- Collaborate with internal teams on event planning and logistics for upcoming events.
- Work closely with the sponsorship team to understand client commitments and help to translate them into actionable plans.
- Assist in post-event reporting and analysis.
- Identify opportunities to streamline workflows and improve sponsor/exhibitor experience.
- Maintain documentation of processes, timelines, and best practices for future events.
Client Communication & Support
- Serve as a day-to-day point of contact for sponsors and exhibitors regarding logistics, deadlines, deliverables, and general questions.
- Provide proactive updates and respond to inquiries with professionalism and efficiency.
- Create and implement communication schedule to provide proactive updates to sponsors on a yearly and by-event basis.
- Support onboarding and orientation processes for new sponsors and exhibitors, including creation of materials.
- Support setup of events exhibitor/sponsor management software, and update/populate information on an ongoing basis.
Qualifications
- 5+ years of experience in sponsorship operations, event management, or client services.
- Strong organizational and project management skills with attention to detail.
- Excellent written and verbal communication and interpersonal abilities.
- Proficiency in project management tools and CRM systems.
